Office-based staff manually copies working files from the company server to their laptops, so that they can work during customer appointments or in their home office on the weekend. If they forget to copy documents or files to a laptop, they can connect via VPN to our corporate network in order to copy the relevant data. After processing, the modified files need to be copied from the laptop back to the server, either via the VPN connection or in the office, so that other colleagues can use them.
When working files are copied to the company server in the office, care must be taken to ensure that any changes in the files are not overwritten by other staff members. Therefore, in some cases we use file synchronization software.
Overall, the process is not ideal, as it is very time-consuming and almost always requires me to take my laptop into the office although I have a desktop PC there. It has happened many times that work results and progress were accidentally lost during copying and overwriting. If the connection is interrupted during the copy process, the files are damaged and the entire process must be restarted.
Office-based staff have real-time access to any files modified in someone’s home office. Mobile units can fully and automatically synchronize folder contents with any other participants without needing to set up a VPN. It is not necessary to switch to unsecured public cloud services.
Via direct peer-to-peer, the files are updated extremely quick even through firewalls and routers. They can be synchronized in any size or made available for remote access. Even larger files are therefore always up-to-date and available to everybody. The private cloud by cloudplan makes working on the go or in a home office simple, fast, and secure for all staff members.
